Google Services Notice
Last updated 29 September 2026Effective immediately upon publication
TourOmni integrates with several Google services to provide calendar synchronisation, mapping, bot prevention, and AI-powered features within our travel management platform. This page explains which Google services we use, what data is accessed, and how we handle that data in compliance with the Google API Services User Data Policy, including the Limited Use requirements.
Google services we use
TourOmni uses Google's Application Programming Interface (API) Services to enable the following features within the platform:
| Google service | Purpose | Data accessed |
|---|---|---|
| Google Calendar API | Allows travel advisors to synchronise their calendar with TourOmni for meeting management, availability tracking, and booking-related scheduling. | Calendar event details (title, time, attendees, description), calendar availability status. |
| Google Maps Platform | Displays location information within itineraries, booking records, and supplier profiles. Provides address resolution and map visualisations. | Location queries, address data, and map rendering requests. |
| Google reCAPTCHA | Protects public-facing forms (enquiry forms, payment links, supplier portal login) from automated abuse and spam. | Browser interaction signals, IP address, and device metadata (processed by Google to generate a risk score). |
| Google Gemini (AI) | Powers AI-assisted itinerary generation, rate sheet extraction, and content suggestions within the platform. | Travel data and content submitted for AI processing. Personally identifiable information (PII) is masked where technically feasible before transmission. |
How we access and use Google user data
When you connect a Google account to TourOmni (for example, to enable Google Calendar synchronisation), we request only the permissions (OAuth scopes) necessary to deliver the specific feature you are enabling. We access Google user data solely to provide and improve the platform features that are visible and prominent in the TourOmni user interface.
Specifically, TourOmni uses Google user data to:
- Display and synchronise your calendar events within the TourOmni dashboard
- Show meeting availability when scheduling follow-ups with customers and suppliers
- Render maps and resolve addresses within itinerary and booking records
- Protect public forms from automated abuse via reCAPTCHA risk scoring
- Process travel content through Google Gemini for AI-assisted features
Google API Services: Limited Use disclosure
Limited Use Compliance Statement
TourOmni's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In accordance with the Limited Use requirements, TourOmni:
- Limits data use to providing or improving user-facing features within the TourOmni platform. We do not use Google user data for purposes unrelated to the platform's core functionality.
- Does not transfer Google user data to third parties except as necessary to provide or improve user-facing features, to comply with applicable law, or as part of a merger, acquisition, or asset sale with prior notice to users.
- Does not use Google user data for serving advertisements, including retargeting, personalised advertising, or interest-based advertising.
- Does not allow humans to read Google user data unless we have obtained your affirmative consent, it is necessary for security purposes (such as investigating abuse), it is necessary to comply with applicable law, or the data is aggregated and anonymised for internal operations.
Data storage and security
Google user data accessed by TourOmni is stored within our secure cloud infrastructure (Amazon Web Services) and is subject to the same security measures applied to all platform data:
- Encryption in transit (TLS) and at rest for sensitive data
- Tenant-isolated data environments preventing cross-tenant access
- Role-based access controls limiting data visibility to authorised team members
- Audit logging of data access and modification events
- Session security with HTTP-only, SameSite cookies and inactivity timeouts
OAuth tokens and refresh tokens used to access Google services are stored encrypted and are scoped to individual user accounts. Tokens can be revoked at any time by disconnecting the Google integration from your TourOmni account settings, or by removing TourOmni's access from your Google Account permissions.
Data sharing
We do not sell Google user data. Data received from Google APIs is shared only with the following categories of service providers, solely to deliver platform functionality:
- Cloud infrastructure provider (AWS): for hosting, database management, and encrypted file storage.
- AI processing services: travel content may be sent to AI providers (with PII masked where technically feasible) for itinerary generation and rate extraction. Google user data from Calendar or account scopes is not sent to AI services.
All third-party service providers are contractually bound to process data only as instructed and to maintain appropriate security standards. For a full list of third-party processors, please refer to our Privacy Policy.
Data retention and deletion
Google user data is retained for the duration of your active TourOmni subscription and integration connection. When you disconnect a Google integration or close your account:
- OAuth tokens are immediately revoked and deleted
- Cached calendar data is removed within 30 days
- Any Google user data stored in your Tenant environment is purged in accordance with our standard data retention policy
You may also request deletion of your Google user data at any time by contacting [email protected].
